Position Overview: As a General Office Assistant, you will play a crucial role in ensuring the smooth functioning of our office operations and supporting our logistics manager in coordinating deliveries and managing stock. This position requires excellent organisational skills, attention to detail, and the ability to multitask effectively.

Responsibilities:

  1. Office Administration:
    • Answering phone calls, emails, and inquiries.
    • Greeting visitors and directing them to the appropriate personnel.
    • Managing office supplies and inventory.
    • Assisting in organising company events and meetings.
    • Handling incoming and outgoing mail.
  2. Logistics Support:
    • Assisting the logistics manager in arranging deliveries and shipments.
    • Coordinating with suppliers and carriers to ensure timely delivery of goods.
    • Maintaining accurate records of inventory levels and stock movement.
    • Monitoring stock levels and initiating orders for replenishment.
    • Assisting in optimising logistics processes for efficiency and cost-effectiveness.
  3. Documentation and Record-Keeping:
    • Generating and maintaining reports related to office operations and logistics activities.
    • Updating databases and filing systems with relevant information.
    • Ensuring all documentation complies with company policies and regulatory requirements.
  4. General Assistance:
    • Providing administrative support to various departments as needed.
    • Assisting with special projects and initiatives as assigned.
    • Handling ad-hoc tasks to support the overall functioning of the office and logistics department.

Qualifications:

  • Strong organisational and time-management skills.
  • Excellent communication abilities, both written and verbal.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
